Project
Identification: The key component to any VolunTours™ experience
is determining what non-profit organization best suits your goals
and objectives while realizing that coordination with the needs
of a community and its residents is equally important. The synergy
can greatly enhance the experience of both participants and recipients,
while a poor match — working with a group that is not used to
handling large groups or recognizing the incredible commitment
that an individual makes to give part of their travel time to
serving that organization — well, we know what that can do. At
VolunTours™ we take the selection of a non-profit organization
very seriously. We pre-screen all of the organizations with which
we work in order to create the perfect foundation for your VolunTours™
experience.
Event Planning
& Coordination: With a project selected it is up to the
VolunTours™ Team to create the overall timetable, staffing, orientation,
notification, follow up, etc. to ensure the greatest possible
experience for you. This is broken into phases for review with
clients to prompt questions as well as understanding of exactly
what will occur. A final plan will be developed and approved for
"Day-of" activities.
On-site
Project Supervision & Management: VolunTours™ will have
staff on-site to ensure that all activities are conducted and
carried out according to the finalized plan.
Liability
Insurance Coverage: VolunTours™ holds a $1 million liability
policy through its partner organization San Diego Cares. This
liability policy covers all participants.
Local Media
Relations/Public Relations: Through our partnership with Nuffer
Smith Tucker Public Relations, VolunTours™ offers these unique
services to our clients to enhance the message and/or positioning
of our participants in local media and niche media publications,
broadcast and television.
Website
Announcement: VolunTours™ realizes the importance of letting
folks know about your event. The World Wide Web has become an
integral component of reaching the marketplace and delivering
the message about our clients' good works. Therefore, we are including
the development of a "splash page" and links for all of our clients.
Annual
VolunTours™ Membership: The Membership is a means by which
we can keep you informed of new VolunTours™ Markets & Opportunities,
Updates, and Incredible Feedback from participants. You will also
receive the Benefits of Membership as mentioned in our "Welcome"
letter.
Post-Event
Recap: VolunTours™ wants to create the most incredible experiences
for our members and clients. Improvement comes only through discovering
both our strengths and weaknesses. The Post-Event Recap is a forum
style evaluation and feedback whereby participants and recipients
can interact and discuss the overall experience: Improvements,
Ideas, Modifications, Critical Suggestions, etc.
Evaluation
& Final Report: A VolunTours™ Evaluation will be sent
by email to all participants. This feedback will be added to input
from the Post-Event Recap. The Final Report is a detailed explanation
of the Event. It will include information such as: the Number
of Recipients Served, the Number of Hours provided, the direct
impact on the service recipients and the organization, and any
legacy the Client may have left for the community.

Add-On
Services |
Photography/Video
of Event: Photography can play a very important role in re-acquainting
oneself with a past experience, memories of great events, and
an understanding for those who were unable to attend. Therefore,
we offer this service to those who may want to create VolunTours™
Scrapbooks, Images for Websites, or simply to just have on-hand
for future reference. Clients may also opt to include Video Production
of their VolunTours™ event for recruitment purposes, marketing,
public relations, promotion of upcoming conferences, or other
possibilities.
Catering:
Food & Beverages can be added to any VolunTours™ event and
can even be augmented to serve the recipients of your attendees'
great works. Box Lunches, Barbeques, Picnics, Continental Breakfasts,
etc. can be added to enhance your groups' experience.
Supplies
for Projects: Supplies that are not provided as in-kind contributions
either through VolunTours™ Partners or through your member organizations
will be budgeted separately for clients.
Interpreters
& Guides: For VolunTours™ across the U.S./Mexico Border
or for those serving non-English speaking populations, we offer
the option of having a Bi-lingual Interpreter or Guide to enhance
your experience.
Event Signage:
For those meetings & conventions groups looking to deliver
their message in the destination, we offer the option of designing
and printing banners for your VolunTours™ Event.
Merchandize:
The Branding and Co-branding of Miscellaneous Merchandize for
your attendees can improve the overall team-building experience.
T-shirts, Golf-shirts, water bottles, hats, sunscreen, and tote
bags represent just a sample of the items that can be developed
for your VolunTours™ Event.
Collateral
Materials: VolunTours™ offers templates for brochures, mailers,
"Save-the-Date" Fliers, and other forms of collateral into which
your logo and specific information can be added and printed for
distribution to Event participants.
Legacies/Donations:
VolunTours™ Clients may choose to leave a legacy or donation for
a non-profit organization. These can vary from dedicated trees
and landscaped enhancements, to park benches, to playground equipment,
to murals, to statues. Others may choose to leave a monetary contribution
for the non-profit organization. (This may also include a staged
check presentation.)
Post-Project
Events: Your Team may select to hold a carnival, dance contest,
or fair for the population that you have just finished serving.
Entertainment:
During your VolunTours™ Event, you may prefer music — live or
via a DJ. You may have Mimes or Look-a-Likes parading through
and assisting you and your Team.
Advertisements:
Because some meetings & conventions include an expo or trade
element, you may want to drive traffic to your expo and tag the
"Good Works" that you are providing to the community via VolunTours™.
Offering tickets to the residents that you have served or including
an element where individuals can participate in your VolunTours™
event and receive complimentary tickets to your trade show is
another opportunity for increasing attendance. Through the VolunTours™
Leverage Media Partnerships, you will receive greater value on
your media buys.
As we develop
additional customized projects and events for our clients, we
will discover new Services to enhance the overall experience for
future clients. The above list is meant to foster discussion,
creativity, and an approach to events that you may not have realized
was possible. Truly, a number of the options listed above could
not be offered at a Golf Event or Awards Dinner. This is the inherent
value of VolunTours™ and your meeting or convention group providing
community service to destination residents.
